The Editorial Coordinator performs a variety of detailed administrative, coordination, and editorial tasks for the Academy’s publications; with focus on the Academy’s journals. Participates in the development of new content features. These responsibilities require a keen attention to detail, an ability to develop and adhere to scheduling of editorial content for production and release, and a thorough knowledge of editorial publication standards and procedures. Monitors and maintains both the Academy’s and publishing partners’ web content management systems, as it relates to the Academy’s publications.
Assumes responsibility for the accuracy and timeliness of the journals’ websites, both on the publishing partners’ websites (liaises with the publishing partner and performs web administrative tasks as needed) and the Academy’s websites. Specifically, updates the web features on, and linking to, new blog postings, content carousel, podcasts, videos, webinars, etc.; curates timely and accurate information about members of the Academy’s Board of Directors, the journals’ editorial board members, and staff listings. Inspects journal issue proofs (PDFs) for consistency regarding approved scheduled content and special features (front matter, consistent article lineup, placement of icons, etc.); regularly reviews and updates posted information ‘About the journal’, ‘For authors’, ‘For reviewers’, etc., calls for papers and other web content as needed. Coordinates the selection of articles and figures for the journals’ semi-monthly content carousel feature. Works with the director, internal stakeholders, publishing partners and outside consultant, as needed, on enhancing web presence and appeal of the journals in order to increase usage and reader satisfaction through regular updates and upgrades.
Coordinates/participates in meetings and conference calls (occasional evening hours) with publishing partners, journal editors, and Academy staff to communicate with, and gather feedback from key stakeholders. Makes suggestions for areas of improvement to achieve efficient and consistent content workflows. Assists the director in liaising with the Academy’s marketing and communications staff as needed.
Coordinates the selection of articles, as well as the scheduling of the Journal’s monthly podcast and the Journal’s webinars (currently eight annually) with external and internal stakeholders; assists in the planning and implementation of new features with in-house staff and outside vendors.
Assists director in other administrative functions.
- High school diploma plus at least two years college
- Familiarity with website administration, MS Office Suite and database management
- 2-5 years publishing experience in administrative, editorial, and/or production environment.
- Strong organizational, time management, communications and interpersonal skills.
- Advanced writing/editing skills
- Minimum of 1 year experience in scientific, technical, or medical journal administration and coordination
