The Membership Operations Specialist is a meticulous and adaptable professional who plays a crucial role in supporting the membership team. This position involves a variety of administrative and operational tasks aimed at enhancing member experiences. The Membership Operations Specialist will have strong organizational skills, excellent communication abilities, diligence, and the ability to manage sensitive information with care and confidentiality.  

The Membership Operations Specialist will play a key role in managing the MAAP application and resident enrollment and transition portals, ensuring smooth processing of all applications and registrations. The Membership Operations Specialist will be responsible for manually reviewing applications, verifying eligibility, and ensuring that all required documentation is accurately entered into the system. The role requires an elevated level of collaboration across departments including the AAOS Service Center, TDS Teams, PMO, Education, Governance and more, to ensure smooth operations.

Membership Support: 

  • Manages the application submission and approval process for all member groups. 
  • Tracks and oversees the implementation of high-priority member experience projects including reporting, application processing, and external notifications. 
  • Leads the implementation of member application process improvements including forms, payment, weekly reporting, notifications, and communications. 
  • Coordinates open periods for New Resident Enrollment and Post Graduate Year (PGY) 5 transitioning to paying members for all partner residency institutions. 
  • Reports weekly updates to the Membership Business Lead regularly utilizing Association Management Software (AMS) UX dashboards, and PowerBI for resident management analysis and updates. 
  • Produces weekly reports for constituents and internal stakeholders on Key Performance Indicators (KPIs), including engagement, conversions, and ROI on marketing tactics for New Resident Enrollment and PGY 5 transitions. 
  • Coordinates the administrative processes for Membership Council and Board of Directors reviews, including organizing and tracking applications, preparing review packets, following up with members for additional information, tracking certifications, and preparing and sending final voting result letters.  
  • Obtains quotes and timelines from applicable internal and external vendors for execution of corresponding marketing projects as determined by Business Lead. 
  • Responsible for ongoing list procurement/uploads and lead segmentation, quality control, and analytics tracking. 
  • Supports execution and tracking of all communications for key audience personas, including full member journey development. 
  • Supports onboarding and engagement teams to deliver superb member experience. 
  • Supports the development of high-profile reports, presentations, and communications and reinforcement of a clear and consistent brand voice. 

Administrative Tasks: 

  • Maintains daily communications with current and prospective members, both written and oral, and help drive participation towards membership goals. 
  • Coordinates meetings, exhibits, and events. 
  • Manages multiple projects simultaneously, organizing, and prioritizing information. 
  • Maintains relationships with internal departments and program partners. 
  • Represents the organization at conferences and events as required.

Qualifications: 

Required: 

  • Bachelor's degree in marketing, Business Administration, or related field 
  • 1-3 years’ experience in administrative support, marketing, or membership services 
  • Positive, can-do attitude with priority on team success 
  • Ability to multi-task and adapt quickly in a demanding environment, both within a team and independently 
  • Basic writing, editing, and proofreading skills. 
  • Proficiency in Microsoft Office Suite, including Microsoft Excel and PowerPoint 
  • Experience collaborating with external partners/agencies. 

Desired: 

  • Basic skill with marketing automation tools such as HubSpot, Marketo, Salesforce, etc., and graphic design software such as Canva, Adobe Photoshop, Adobe InDesign 
  • Experience with Microsoft, ProTech or similar AMS 
  • Previous work experience in an association and/or NGO business model 
  • Exceptional administrative and project management skills 
  • Bilingual, specifically proficient in Spanish 

Salary Range: $51,000-$56,000, depending on qualifications and experience.

This hybrid position is based in Rosemont, Illinois, and is open to applicants who can commute bi-weekly to this office.
